Archive or recover an archived roster

Clean up your rostering page, and remove unused rosters with the archive feature

You may have rosters that you no longer use. To keep your roster overview tidy, you can archive rosters that you no longer use.
Examples of use for archiving a roster:

  • A job or a project that has finished
  • A seasonal roster
  • A client roster that you no longer need

Rather than deleting the roster, you can archive it from your roster overview, and the best part is, you can recover it at a future point, giving you flexibility when managing your rosters.

  Please note: To configure rosters from the Roster Overview page, users must have the 'Manage Rosters' permission. This includes the functionality of adding new rosters, archiving or restoring rosters or changing the configuration of a roster (e.g. changing the location of a roster).

Archive your roster

Before archiving your roster, ensure to check that you don't have any upcoming shifts on the roster. If you do, you will need to wait until these shifts have passed before completing the archive.

To archive your roster:

  1. Navigate to Work > Rosters.
  2. Select the ellipsis icon next to the roster that you'd like to archive, and from the drop-down, select Archive.       

  3. From the pop-up that appears, select Archive. 
     
  4. Your roster will no longer be displayed under your operation.
    • If you only have one roster under your operation, your operation will display without rosters, and when you refresh the operation, it will disappear.
Recover an archived roster

If you would like to use a previously archived roster, you can recover it. The recovered roster will retain the previous cost code, shift notifications, and Clock geolocation boundary. 

To unarchive a roster:

  1. Navigate to Work > Rosters, and from the roster overview, next to + Roster, select the down arrow > From archive.

  2. You can then use the filter to search for a specific operation and/or roster, select the checkbox for the roster you'd like to recover and select the recover button.
  3. Your roster will now be restored under the relevant operation.

Once you have recovered your roster, we suggest using the settings cog icon next to the roster to review the relevant details that had been previously configured that you may want to change now (cost code, shift notifications, and Clock geolocation boundary).
