Break down your paid roster costs using the Roster Breakdown report

The Roster breakdown report will allow you to track your payroll data across your business on a per-role basis.

This report pulls data from processed payroll and allocates it to each relevant roster and roster cost code for the chosen period you filter. This lets you see the total costs for non-salaried employees for each roster at a high-level glance.

Some key uses for the Roster Breakdown report are:

Generating the roster breakdown report

The Roster Breakdown report can be generated after payroll is processed. This report uses data from timesheets and displays the payroll costs associated with each roster in your business.

This report is best used to track and calculate the pay data for your casual and permanent employees for each roster. Salaried employees are not associated with a roster and, therefore, will not account for the total costs any roster they work on.

As this report pulls data from timesheets, any manual edits or adjustments to payslips will appear as 'unallocated' due to being a modification of the timesheet. 

The following items are included in your Roster Breakdown report:

  • Roster and associated Cost code/PO
  • Total Hours worked 
  • Gross wages
  • Taxable allowances
  • Deductions
  • PAYG withholding
  • Non-taxable allowances
  • Superannuation
  • Net pay
  • Reimbursements
  • Total payment
  • Taxable total

  Please note: Admins will need the 'View Employee Pay Rates' and 'View Financial Report Center' permissions enabled to access the Roster Breakdown Report. For further reading, please refer to our article on User Permissions.  

To run the Roster Breakdown report:

  1. In the quick menu, navigate to Reports > Financial and select Roster Breakdown report.
  2. Select your date range using the Filter from Date and Filter to Date.
  3. Select Filter by Office Codes if required, or leave blank to view all.
  4. You can also optionally select the Cash basis tickbox.

      Hot tip: Cash Basis - By selecting Cash basis, the report will generate the data using a cash basis (the payment date) rather than the period end date.
  5.  Select Generate to run the report.
  6. If you have many rosters, the report will likely span multiple pages. You'll want to export the data as a CSV to view it in its entirety.

  Please note: Salaried employees will flow through to the last pages of the report and appear as 'Unallocated' as their wages are not associated with a particular roster in this report.

Warning: You may notice 2 columns relating to employee earnings. Taxable Total shows up in reports for FY 22/23 and earlier, while Gross Pay is used for periods thereafter.
