Log into your foundU platform as an admin or employee and understand the different processes.

To start using foundU, whether you're an admin accessing the platform for the 100th time or an employee using their portal for the very first time, you'll need to log in each time!

When you log in, you will be asked to verify your identity through multi-factor authentication.
Put simply, you'll need to enter a 5-digit, one-time code sent to your email or phone. This is to ensure your confidential data remains secure and complies with requirements from the Australian Taxation Office (ATO). 

Multifactor authentication applies to both admin users and employees when updating confidential information, such as banking and tax file details.

  Hot tip: If you are an admin who also has an Employee Profile, you will need to use the separate employee login to access your profile.

Log in as an admin user

As an Admin user in a platform, you may have access to employee sensitive information, because of this we have a separate portal for admins to log into.

If you are having issues logging in to the admin portal, please reach out first to your direct report and confirm your set-up. 
 

To log in as an admin user:

  1. Go to yourcompany.foundu.com.au/admin
  2. Enter your email address and password and select Sign in.

      Hot tip: If you are an admin user on multiple platforms, using the same email address and password for each, you can use login.foundu.com.au to log in, view and manage all your platforms from one page!

  3. Select how you wish to receive your verification code. You can receive the code via email or SMS.

      Please note: SMS will only work if you have integrated a 3rd party SMS provider into your platform and if you have entered your mobile number when setting up your user details. If sending via email, be sure to check your junk/spam/promotions/other folders

  4. Enter your code and select Confirm.

You will now be logged in. If you do not enter the code within 2 minutes, you will need to send another code.

  Hot tip: You will be required to log in by providing an MFA code once daily, logins for the rest of the day will only require a password, this includes inactive timeouts, or logging out of the platform.

Log in as an employee

Employees will log in to the Employee Portal to access or make changes to their personal details, view payslips, apply for leave and view their shifts.

  Please note: If you are an employee of multiple businesses with different platforms, you will need to make sure you are signing into the correct subdomain. For further information regarding this, please check out the section on this in our full employee guide.
 

To log in as an employee:

  1. Go to yourcompany.foundu.com.au/
  2. Enter your email address and password and select Sign in.

      Hot tip: Employees can also use our Employee App to log in, manage their details, view upcoming shifts, pay slips and apply for leave and time off!

     

  3. Select how you wish to receive your verification code. You can receive the code via email or SMS.

Admin logging in as an employee

In scenarios where an admin user wants to impersonate an employee's view, you are able to log in as the employee.

  Permission Reminder: To be able to impersonate an employee, you will need to have 'Impersonate Employee' enabled in your User Permissions. 
 

To impersonate an employee's view:

  1. Navigate to the People tab, then select the relevant category for the employee you are searching (e.g. Approved People).
  2. Use the search box to find the user and select their name.
  3. From the employee profile overview page, select Login as which will open their portal in a new window.

Switching between employee and operation profiles

If you have operation users in your platform, they can switch between their employee and operation profiles once logged in if using the same email address.
 

To switch between your employee and operation profiles:

  1. Login at yourcompany.foundu.com.au 
  2. From the main menu, select Profiles to show the Switch Accounts modal.
  3. Select the account you want to log into. 
  4. This will allow you to quickly switch between your Employee and Operation portal.

Single sign-on (SSO)

SSO is an authentication tool that allows a user to log in to several independent software systems using one single Login ID.

If you currently use a single sign-on provider in your business, you may want to set it up to access foundU.

FAQS for signing into foundU

I keep seeing a Login screen even after I logged in earlier today. Can I stop my platform from logging me out?

The ATO requires software providers that use sensitive financial information to have additional protection and security measures to protect the privacy of individuals' information. As a result, if your user profile has any of the below permissions in foundU, your platform will automatically log you out after 30 minutes of inactivity.

  • Manage Employee Financial Details 
  • View Employee Pay Rates 
  • Financial Reports 
  • Access Pay 
  • Access Award Tests 
  • Access Superannuation 
  • Access the Single Touch Payroll Portal 

Unfortunately, as this is an ATO requirement, we cannot stop your platform from logging you out after a period of time. 

How often will I need to enter my MFA code to log in to my platform?

You will be required to log in providing an MFA code once daily, logins for the rest of the day will only require a password, this includes inactive time outs, or logging out of the platform.

I have forgotten my password to log in to my foundU platform, what can I do, or who can help me with a password reset?

If you're experiencing issues with your password and need to reset it, the easiest option will be to use the 'forgot password' option on the login screen. If you require more help with this issue, please consult this article to troubleshoot more password solutions. 

I am currently overseas and trying to log into the foundU platform, why won't it work?

There are several countries that are restricted from accessing foundU for data security purposes. If this is the case, please submit a ticket to our support team with your current public IP address and our backend team will whitelist that address for you.

Our recommendation to find your public IP address is to simply enter “what’s my IP” in Google search and take a screenshot to send it to us. The below image is an example of what we are referring to.



Note that if you relocate, you may need to submit a new ticket as your IP address could change.

Alternatively, you can subscribe with a third-party VPN provider which will allow you to route the network through a different location e.g. Australia.

Why is my Verification Code not coming through?

Verification Codes usually come through within a couple of minutes. If you have not received yours, first please make sure to check your junk, spam, promotions or other folders. If you still have not received the code, your email might be suppressed. Please reach out to our support team and they will be able to look into this further for you.
