Easily report on staff headcounts and roles covered each week using the People in Work report
The People in Work report shows you who is working in a given week and how many positions are filled across your rosters.
Common uses for this report include being able to:
- View a daily staff headcount for the week across selected rosters and operations.
- Compare rostered headcount week to week.
- See how many people worked in each position across the week.
- Verify that a qualified position is scheduled every day. For example, confirming a diploma-qualified staff member is rostered in each childcare room.
This report pulls data from published rostered shifts. Please ensure your rosters and all shifts for the week in question have been published before running the report.

Permission Reminder: This is a permission-controlled report. Admins will need the 'View Workforce Report Centre' permission enabled to see any reports in this section of reporting.
Use the People in Work report when you need to review who was rostered to work during a specific week and the positions covered across your business.
The report provides a breakdown of People in Work (PIW) and position coverage, including:
- Roster - Total PIW - The number of unique people rostered to work per roster.
- Position - Total - The number of people rostered in each position. Employees working multiple positions will be counted against each relevant position.
- Production Days - The number of unique shifts included in the report across different time spans and/or positions.
As rosters in foundU are managed week to week, this report covers a single roster week and pulls data from published assigned type shifts only (i.e., no open or offered shifts will be reported).
Please note: Before running the report, ensure the relevant rosters and shifts for the selected week have been published.
To run the report:
- Navigate to Reports > Workforce Reports > People In Work.
- Select the required roster week in the Week Ending field. This field will default to the current roster week ending date.

Apply any additional filters, or leave them blank to return all results. Available filters include:
- Operation — Filter by specific operation(s).
- Roster — Filter by specific roster(s).
- Visa Subclass — Filter by visa subclass(es), useful for visa compliance checks.
- Office Code — Filter by employee office code.
- Employee Working Status — Filter by Active (Approved People), Declined, or Archived employees.
Hot tip: If you are running this report for a date far in the past, include archived employees to provide a more accurate employee count for that period.
- Once all selections have been made, select Generate Report. Depending on the size of your roster data, the report may take additional time to generate.
- This report can be exported to PDF if required by selecting Select Export PDF.
