Customise your foundU platform with your company logo and add a custom background for your login pages

Whether you have recently refreshed your logo, started a new business venture, or manage multiple brands under one company, you have the option to personalise your platform by incorporating your company's logo.

This level of customisation not only enhances the overall look and feel of your platform but also ensures a seamless, unified experience for everyone who uses it. 

In this article, we will cover:

  • How to add a logo to your platform
  • Updating your background for your login pages
  • Add unique logos for each paying entity (office code) to appear on employee payslips

Add a new logo or background to your platform

If you wish to update the logo displayed on your foundU platform, the process is straightforward as long as you have the appropriately sized logo and correctly formatted files ready. 

  Please note: When uploading logos, you can upload only one file at a time. If you have a platform with multiple businesses, either use the parent entity's logo or combine all logos into 1 image.

The platform allows you to update or apply your logo in several specific areas, each serving a different purpose within the platform:

  • Logo - This logo appears on the login pages and in the main menu. This logo is typically the most visible and appears to users every time they access the platform. 

  • PDF logo - This logo appears on all PDF exports generated by the platform, such as reports and payslips. Unless you specify otherwise by using the office code, this logo will be the default image shown on these documents.

  • Tiny logo - This logo is a legacy feature used with the Operations Portal. 
  • SVG logo - Also known as a secure logo, is a legacy feature. 

  Please note: You are required to use specific dimensions for your logos. For both the main Logo and the PDF logo, you must use an image that measures exactly 300 x 100 pixels to prevent warping

Additionally, for the Tiny logo, you need an image exactly 51 x 51 pixels. All of these images need to be saved as PNG files. 


To update your company logo:

  1. Navigate to the main menu > Platform settings > Platform files.
  2. Select the Upload tab and choose the relevant option.

  3. You will need 2 logo files in the following sizes and in a PNG format:
    • 300 x 100 pixels for Logo and PDF logo
    • 51 x 51 pixels for Tiny logo
  4. Choose the appropriate file from your computer.
  5. Select Submit.

Update your background image for the login pages

In addition to the logo, you can personalise the background of your login pages. This lets you tailor the appearance of your login page by selecting an image that reflects your brand identity. By customising the background, you can create a more welcoming and visually appealing experience for users logging in to the platform. 

You can have 2 custom backgrounds; these are set per login screen, allowing you to have different looks so you can easily identify which portal you are logging into. These are:

  • Admin login 
  • Employee login and the registration page

  Please note: You are required to use specific dimensions for the background image. Your background image must be at least 1920 x 1080 pixels. This image must be saved as a JPG file


To update your background image for the login page:

  1. Navigate to the main menu > Platform settings > Platform files.
  2. Select the Upload tab and choose the relevant option.

  3. You will need a file at least 1920 x 1080 in JPG format.
  4. Choose the appropriate file from your computer.
  5. Select Submit.

  Please note: When updating a logo or background on your platform, you may need to perform a 'hard refresh' to see the changes take effect. On a Windows computer, press Control + F5, then click the reload button while holding Control. On a MacBook, press Command + Shift + R.

Customise the logo displayed on payslips

If your platform is configured with multiple paying entities, you may require different logos to appear on payslips for each entity. 

In such cases, you can assign a specific logo to each paying entity by updating the logo in the office code. This ensures that each payslip reflects the correct branding for the respective entity.

To customise the logo on your payslips:

  1. From the main menu > select Payroll Settings > Office Code.
  2. Select the edit pencil icon for the applicable office code.

  3. Scroll down to the Tax Dec Details section and locate the PDF Logo field.
  4. Here, you can drag and drop a file or select one from your computer. The ideal size logo should be 300 x 100 (pixels), which is the same as the PDF logo.

  5. Scroll to the bottom of this page and Save to update.
  6. To ensure the logo has been saved properly, navigate to Payroll > Pay, then choose a draft payslip to view. You will need to reprocess any draft payslips to include the new logo
