Understand which foundU reports you can combine for reporting on WGEA and Portable LSL
At foundU, we understand that running a business involves more than just hiring employees, completing tasks, generating revenue, and paying salaries. There are many other responsibilities, including ensuring order and compliance.
In this article, we will discuss how to utilise your platform's reporting tools to collect essential and accurate workforce data. This information will aid you in reporting on:
- Workplace Gender and Equality
- Portable Long Service Leave (QLeave)
Please note: While we can assist you in gathering this information, you may still need to perform your own formatting, filtering, and Xlookup externally in Excel or Numbers.
Depending on your business size, for compliance reasons, you may need to report to the Workplace Gender Equality Agency (WGEA), or you may simply want to see a breakdown of who makes up your workforce.
Although we don't have a dedicated report or guide for WGEA, you can still gather information related to it by using a variety of reports. We will list these below, along with the information you can collect from each.
Please note: If you are using this specifically for WGEA, information like Occupational Category and Manager Category is not available on our platform; however, this information is usually pre-filled in your WGEA template.

Approved or Archived People Export - Using this export, you can gather the following information:
- Employee Name
- Employee ID
- Gender
- Casual or Permanent/Part-Time position Start Date
- Position & Additional Position (if they work multiple roles)
- Operation
Please note: Casual employees will not export with an Operation unless an Associated with Operation is assigned on their Employee Card. See below for an alternative report you can use in place of this one.
- Employment Type
- Date of Birth
- Rate
- Annual Salary
- Tags (if used to track internal items like promotions or graduates)
Hot tip: You can save these selections as a Template to reuse if you perform this reporting frequently.

Labour Management Report (LMR) - If you need to link your casual employees back to an Operation, you can use the LMR to view a history of when they have worked across individual or multiple Operations. When using this report, you will need to ensure you have the following selections made:
- Date Range
- Group By options. You will need to group this report by Employee ID and Operation ID.

Attendance & Performance Report - You can use attendance and performance codes to track internal promotions, denotions, movements across clients or other changes to an employee's position or role. When using this report, you will need to ensure you have the following selections made:
- Date Range
- Filter options are available if you need to break the report down further by specific Operation, Reason Type, and Reason.
If you currently do not have any Performance or Attendance codes set up, you can follow the steps outlined in our guide here to add those to your platform.

Advanced Payroll Activity Report - Using this report, you will need to ensure you have the correct date selection, and use the following Group by options:
- Employee ID
- Employment Type
- Income Type
- Office Code
- Operation
- Position
- Line Item

You will also need to select the following tickboxes:
- Cash Basis
- Split Deductions
- Show ABN
- Display Non-Reported STP amounts separately
- Separate Superannuation Contribution Types
In the building and construction, contract cleaning and security industries, employees are often eligible for Long Service Leave regardless of how many employers they have worked for. This means that workers do not need to remain with a single employer to qualify for this leave.
Each state has its own governing body that manages the requirements for Portable Long Service Leave, which can vary from one state to another. One frequently asked question pertains to the Queensland government's QLeave and how to gather information from your platform to report on it.

Before we proceed, if you have not yet started capturing your employees' Portable Long Service Leave Identification Numbers (PLSL ID) or need a method to allocate and report on their Worker Classification Codes, both of these can be set up as Custom Fields.

Approved or Archived People Export - Using this export, you can gather the following information by first selecting all your employees, then using Bulk Actions > Export All Filtered (or All Selected), and selecting the following options.
- Employee First, Middle and Surname
- Date of Birth
- Gender
- Address Line 1
- Address Line 2
- Suburb
- State
- Post Code
- Mobile
- Position - You will need to translate this over to a Worker Classification Code if it is not already captured.
- Custom Field - You will need to select both the Worker Classification Code and the PLSL ID if this is used to capture that information.
- Employment Start Date
- Termination Date - Use the export on the Archived People page to capture this information.
- Days Worked FY Ending
