Viewing people statuses in your platform

Easily see which team members are free to work, so you can plan and stay on top of things

In your platform, Approved People will have a unique status that shows their current availability to work. This helps you quickly see who’s ready to be rostered and who may be unavailable.

Each status provides a quick overview of your team’s current capacity and can be accessed from the employee's profile, the roster, or in bulk via the Approved people menu. It’s an easy way to stay organised and ensure everything runs smoothly.

Understanding these statuses will help you make the most of your roster and manage your workforce with ease.

Understanding the approved people statuses

The Approved People page shows unique statuses for employees, indicating their current working state based on actions within the Time Off menu, such as being on leave or having availability conflicts. These statuses provide a clear view of who’s available to work, who's unavailable, and who's on leave.

By using these statuses, you can quickly understand your team’s capacity, make smarter rostering decisions, and stay organised day to day.  They also make it easy to filter employees and perform bulk actions, such as sending communications or updates to specific groups.
 

The statuses for Approved People are: 

  • Working - The employee has a rostered shift at the current time. The employee does not need to have clocked in. 

  • Available - The employee does not have a rostered shift or leave, and is not unavailable at the current time. Additionally, an employee with a rostered shift on the current day that has not yet started will also appear as available. 

  • Not Available / Unavailable - The employee has an approved once-off availability request or has marked themselves as unavailable for the current day using ongoing availability. 

  • On Leave - The employee has an approved leave application on the current day. 

 

Pending people status

Candidates in the Pending People menu can have different statuses that show where they’re up to in the onboarding process. These statuses help you quickly understand a candidate’s progress and what action may be needed next.

You can also perform similar tasks here, such as filtering people by status or using bulk actions, just as you would in Approved People.
 

The statuses for Pending People are: 

  • Application incomplete
  • Ready for review
  • Onboarding incomplete
  • Ready to approve

Viewing a person's status on your platform

There are several places across the platform where you can view an employee’s working status. Each area displays the status in a slightly different way, depending on what you’re trying to do.

Knowing where to find this information helps you stay informed and manage your team more efficiently.

Let's explore each of these places as they are listed below:

  • Approved People- Shows a complete list of all employees and their current status.
    • From this page, you can complete additional actions such as:
    • Using the Work Status filter option. This will filter your employees by your chosen status (e.g., view all Available or Working employees).
    • The Approved People page lets you perform bulk actions for your employees, such as sending communications, exporting data, or sharing documents.
    • By applying filters, you can easily target a specific group of employees and perform these actions.


       
  • Employee Profile - Displays the current status for a specific employee.
    • The same status shown on the Approved People page is also visible on the employee’s profile, just under their profile picture.
    • This makes it easy to review an employee’s current status while performing HR actions such as updating details, managing documents, or reviewing their history.


       
  • Roster – Displays an employee’s working status when adding shifts to the roster.
    • When creating or editing shifts, each employee’s status will appear, showing their availability to work.
    • Unlike other areas of the platform, the roster displays the employee’s status as at the time of the shift you’re trying to roster, rather than their current status.
    • The roster will show statuses for Available, Unavailable, and On leave.
    • It does not display the Working status, as this relates to real-time activity rather than future shifts.

        Hot tip: You can also use the 'Leave and unavailability' display option to show an employee's availability and leave on the roster.
       

  • People working today - Shows the current status of your rostered employees. 
    • The Working Today card appears on your Dashboard and lists all employees who have a shift rostered for the current day.
    • Employees on this list will appear as Working if their rostered shift is currently in progress, or as Available if they’re rostered to work later in the day.
    • Salaried employees without a shift, or unrostered shifts, are not included in this list.
    • This feature is a quick and easy way to send an email or SMS to everyone rostered for today, helping you stay connected with your team in real time.
