Importing contacts to an operation

Import contacts for operations using a CSV file

You can bulk import contact details for Operations by importing a CSV file. 

Some of the common use cases for this import include:

  • Adding bulk contact details at one time.
  • To use the CRM function of the platform more fully by having contacts readily available.

The following information can be included in your contacts import:

  • Operation ID & Name
  • Contact name
  • Contact email 
  • Contact position 
  • Contact description 
  • Contact mobile
  • Contact phone

Operation contacts import

If you are familiar with other foundU CSV imports, you will find this import very similar in the same 2 steps.

  • Step 1 - Format your data ready for importing
  • Step 2 - Import your data
     

Formatting your Data

Step 1:

  1. Navigate to the main menu > Import/ Export > CSV Import.
  2. From the drop-down select Operation Contact Import.
  3. Under Step 1 you will have options to:
    • Select Get Field Definitions to get an overview of which fields are mandatory and the required data format.
    • See an example of the data by selecting Download Sample.
  4. Once you are ready, select Download Blank File to prepare your data.

Once you have your data in the format required for importing, you're ready for Step 2.
 

Import your data

Step 2:

  1. Ensure you have saved the changes to your CSV file.
  2. Select Choose file and select your recently saved CSV and click Open.
  3. Under Step 2 select Import CSV

If you encounter an error while uploading the CSV file there is a General Guide at the top of the page to determine the changes you may have to make to your data before the file will import. 

  This CSV file import will be helpful when you need to upload many contacts at once. You can import contacts to multiple Operations at once. 

SCENARIO

We'll use the following example to highlight some of the functionality of this import.

We've filled in contacts in our CSV for 2 Operations - Cup & Co. and Caffeine Express. The Operation IDs we gathered from our list of Approved Operations. 

You can import contacts to both Pending and Approved Operations at one time.

In the image below, you can see the data ready for Import. Please note:

  • Column B- Operation Name is for reference only. This column will not be imported. It is only used to allow the user to visualise what Operation ID it relates to.

After importing, the contacts will be found against the relevant Operation > Contacts > Contact List. You can access your complete list of Contacts for all Operations from the CRM> Contacts in the main menu.

The below gif highlights the scenario above. 

Should you need to make a change to a phone number, name etc, you can edit your Contact List to ensure it is more accurate. To do this you may want to:

  • Editing a contact's details
    • This is done via the main menu > CRM > Contacts.
  • Delete a contact entirely
    • This is done via the main menu > Operation > Contacts > Contact List > Edit contacts button, select the 'x' next to the contact.
