Export pay data in bulk

If you're tired of examining each payslip separately or are proficient with Excel, you can export your employees' pay data in bulk directly to CSV.

This excellent pre-payroll review step allows you to check payslips and pay data before generating draft payslips. This will help ensure that employees receive accurate pay.

This feature is not limited to just draft payslips; you can also export payslips that have been generated. Exporting these payslips is helpful if you want to create an audit trail or check for any differences in employee pay for each pay period.

Hot tip: If you have any blocked draft payslips, you can still select and export their pay data to review.

To export your payroll data:

  1. Navigate to Payroll > Pay.
  2. From this page, select either:
    • Draft payslips - For pre-payroll checking.
    • Generated payslips - For exporting payslips paid to employees.
  3. Select the employees for whom you want to export pay data. This can be done by:
    • Selecting employees individually - Useful if only a few employees need to be exported.
    • Selecting all employees - Used to export all employees, no matter how many are shown on the page.
    • Selecting all employees on page - This will export all employees shown on the screen.
  4. This will open a taskbar; select Download > CSV.

  5. Then select the relevant fields to export; the categories available are:
    • Details
    • Totals
    • Line items
    • Entitlements
    • Reimbursements
    • Dates

Hot tip: Select the heading of each category (e.g., Details) to deselect/reselect all options in that category.
  6. Once you have chosen the relevant options, select Export CSV. You will be notified via the bell icon in the top right of the platform once your file is ready.

Export Options

Here is an extensive list of options for your consideration. We encourage you to take the time to review these choices and select the most suitable and effective export for your business.

Warning: You may notice 2 options related to employee earnings. Taxable Total appears in payslips for FY 22/23 and earlier, while Gross Pay is used for periods thereafter.

Saving your export options for future use

Once you have selected the combination of export options you would like to use, saving them for future use is a good idea. This way, you can quickly export your pay data at any time without having to reselect your desired options each time you export.

Hot tip: Your saved export options are unique to you. If you want to share these selections with your team, we recommend sending a screenshot so they can replicate your choices.

To save your chosen export options:

  1. Under New export, select your export options.
  2. Select the 'Save as template' toggle, then enter a template name.
  3. Next, select 'Export CSV'. Your export will begin, and your chosen options will be saved as a template for future use.

  4. You'll find all of your saved templates under the 'Use template' tab.

  5. Select your saved template to pre-load your previously saved export options, and select Export CSV to export.

  6.   Hot tip: Select the ellipsis to edit or delete your saved templates. Editing will allow you to change the template name and export options.
