Capture, view, and understand the evolution of your employees' shifts from creation to payment

When managing your employees' time and attendance, admins often need visibility into how shifts change over time to support compliance, investigate issues, and inform operational decisions. Without a clear record of what changed and when, it can be difficult to trace a shift's evolution.

Shift History solves this by providing a simple, chronological view of every action taken on a shift. With all updates in one place, your managers can quickly see the full story of a shift from creation to completion.

In this article, we will go through:

  • What is or isn't shown in your Shift History
  • How to access Shift History from the Roster
  • How to access Shift History from the Approve Shifts page

Please note: Shift History will only display for shifts created or edited from 16 April 2026 onwards.

Understanding shift history

Rostering employees often involves more than simply creating and publishing a shift. As circumstances change, shifts may need to be adjusted; whether updating hours, reassigning employees, or swapping shifts. With multiple managers making updates over time, it can become difficult to track what has been modified.

Shift History allows you to easily track changes made to your shifts across both the Roster and Approve Shifts pages. It also shows who made each change and when, giving you clear visibility into how a shift has evolved over time.

When viewing the Shift History, you will be able to see:

  • The current shift details. These details can be seen in the white box and will also display the most recently updated shift details. This includes:
    • The operation and roster the shift is associated with
    • The employee and position
    • The shift start date
    • The shift start time and end time
    • Break types, duration and start time
    • Any cost codes, requirements and shift notes applied

  • The timestamp of actions made, along with the name of the user who performed it. This will display actions made by:
    • Admin users
    • Employees
    • System automations
  • How the shift was created. This could be shown as either of the following:
    • Roster
    • Bulk Shifts
    • Approve Shifts
    • Shift Submitted
      • If Verified Shifts is enabled, this will also highlight if a supervisor's signature is provided or unavailable.
    • Import
      • Shift History also displays the shift type (Assign, Offer, or Open) and, when applicable, the offer type (Quick Fill or Shortlist) for rostered offer and open shifts.
  • The status of the shift, including when it was:
    • Offered, and then either:
      • Declined,
      • Accepted, or
      • Expired
    • Assigned
    • Clocked
      • This also displays the clocking method used (Employee App, Clock App, Browser), and highlight if any comments have been left by the employee.
    • Cancelled
    • Approved
    • Declined
  • Edits made to the shift, highlighting changes made to the:
    • Offer type
    • Roster
    • Shift date
    • Shift start or end
    • Position or position group assigned
    • Employee
    • Breaks
    • Allowances
    • Requirements
    • Cost codes
    • Shift notes

Please note: Shift History shows when edits were made and which part of the shift was updated, but it does not display the exact details of the change. For example, if a shift’s end time is updated from 3:00 PM to 4:00 PM, the history will show that the end time was edited, but not the specific time change.

To learn how to view the Shift History on your Roster or Approve Shift pages, check out the sections below.

Shift history on the roster page

Depending on your business, rosters may remain consistent, with employees working the same shifts each week. Alternatively, they may change frequently due to factors such as workforce fluctuations, increased demand, or the nature of the industry.

Regardless of how shifts change each week, access to Shift History within the roster provides your management team with clear visibility into both planned and unplanned changes, helping them better anticipate future needs.

Hot tip: From the roster, you can view a shift's history, regardless of its status: draft, published, offered, accepted, declined, approved or cancelled.

To view a shift's history:

  1. First, navigate to Work > Rosters and select the rosters you would like to look at.
  2. Find and select an individual shift.
  3. From the drop-down, select History to reveal the Shift History drawer and view all changes and updates made to the shift.

Hot tip: The Shift History will also display any edits or updates made to the shift from the Approve Shifts page.

  4. Once an employee has clocked for the shift or an admin has made changes on the Approve Shifts page, the Approve Shifts section on this history will become available. This allows you a clear view of where the changes were made. You can additionally select to view those pages directly by selecting the highlighted link.

Permission Reminder: Access to those pages is subject to your specific admin access and permissions. You will need to have 'Access Clock Log' and 'Access Approve Shifts' enabled in your user permissions.

Shift history on the approve shifts page

Once an employee clocks in or submits their worked hours, the Approve Shifts page provides a central place to review and manage those hours, helping ensure accurate pay. With multiple admins managing approved hours, it can become difficult to track what changes have been made over time.

Shift History provides a clear, chronological view of all actions taken on approved hours, making it easy to see what was updated, when it was changed, and who made each change. This is particularly useful for payroll teams, allowing them to review updates made before payroll is processed and ensure employees are paid accurately.

Hot tip: The Shift History will also display any edits or updates made to the shift from the Rostering page prior to the shift being worked.

To view a shift's history:

  1. First, navigate to Time & attendance > Approve Shifts and find the shift you are looking for by either searching or using the filters available.
  2. To the right of the shift, select the history icon to open the Shift History drawer and view all changes and updates made to the shift.

Please note: The history icon will not appear for unassigned shifts until they have been assigned a roster and/or position.

  3. Easily view the shift on the roster or the employee's clocking details by selecting the highlighted links

Permission Reminder: Access to those pages is subject to your specific admin access and permissions. You will need to have 'Access Clock Log' and 'Access or Manage Rosters' enabled in your user permissions.
