Release Notes - September 2022

Improvements & New features

  • Bulk email additional tokens – Sending bulk emails is now easier, with tokens that can be added with a click, rather than typing specific tokens to add. Additionally, new tokens have been added.
  • With the removal of superannuation thresholds, column to import data has been removed from advanced employee import.
  • Generating QR codes for employers utilising QR codes for clocking can now be access via People bulk actions. You can now select, or filter a number of employees and generate only those codes.
  • Cash-out of leave – All leave types can now have partial entitlement accruals cashed out. Simply change the leave type to ‘Cashout’ on the payslip edit page and enter the desired cash out amount. Previously this allowed cash out of all entitlements.
  • Gender component options – Admins and employees can now select Male, Female, Non-binary, ‘Prefer not to answer’ or specify a term themselves.
  • Pending Shift CSV Import validation improvement – Time and date columns on the Pending Shift Import (accessed through the Approve Shift Export and Edit option) will now accept various format combinations. For example d/m/yy , dd-mm-yy, am, pm, 24hr time and more. Previously, date and time formats were very strict for this import.
  • Employee profile loading time has been further decreased with clock log results loading when viewed, rather than loading in when viewing an employee profile. We also took this opportunity to implement our new standard table to display results.
  • Approve Shift Declined Shifts - Recent changes to Approve Shifts removed the ability to ‘Save’ edits to an already declined shift. This update returns the ability to ‘Save’ edits, while also giving the option for ‘Save and approve’.
  • Unfilled Shifts displayed on the dashboard now link to the roster allowing much faster access.
  • Document Placeholders - Updated all document placeholders that generate dollar values to make them return in a consistent manner. All placeholders will now return dollar values with two decimal places, unless it is a specific placeholder to return four decimal places.
  • Leave displayed on the roster will now include partial day start and end times, so you are able to better plan shifts around employee leave.
  • Shift comments can now be added when creating shifts with the shift import. Up to 3 notes can be added, with the option to set these visible (or not) to the employee.
  • Updated Help menu - Introduced new Resource Centre. The slide-out panel features links to new releases, training resources, video links, search functionality and more.
  • Public holidays reprocess automation - Leave applications submitted before public holidays added to the system are reprocessed so that leave is not redeemed. This reprocess action will now occur when a user adds their own public holidays through the platform.
  • New look work history tabs on employee history - the work history data of an employee that was previously displayed in the "work" section has been split into a "Jobs" and "Shifts" section. The tables have been updated to new styling that will make the whole employee profile quicker to load.
  • Quick Access to Approve Shifts from the Roster - Added a new menu option to the dropdown on each day of the roster to allow rostering managers to quickly navigate to that exact roster and day in Approve Shifts. Also updated the alert notification that is displayed when viewing a shift on the roster that has been edited in Approve Shifts. Rostering managers will now be able to use the button displayed to quickly navigate to that exact roster and day in Approve Shifts.
  • Locked shifts notification - Removed the intrusive 'Locked Shifts' notification that would display in the bottom right-hand corner of Approve Shifts. Each shift has a blue icon in the 'Additional' column that can be used to determine if the shift has been locked. 
  • Document Placeholders in Preview - Improved how specific placeholders are displayed for document templates in the preview mode. When previewing documents with the EmployeeSignature, AuthorisedOfficerSignature, AuthorisedOfficerName and IssuedDate placeholders, they will now appear appended with the text 'Populated when available' instead of rendering blank.
  • Position Start Date Placeholder - Updated the formatting of the rendered date to be in DD-MM-YYYY format.
  • New gender options added to filter - The expanded options for the gender component that were recently added now display as options on the gender filter within People pages.
  • Payslip comments available on export - The Bulk Actions > Export action on payslips now contains an additional option for payslip comments. When selected, any payslip comments will be included in the export.

 

Automation of LWOP for leave shortfall release

  • A new setting will allow for a leave without pay item to automatically fill any leave balance shortfall on a payslip. This includes more options for leave interaction with ordinary hours calculation and more clarity for employees when submitting leave they may not be able to cover.
  • With the above setting enabled, the selected LWOP type will appear on a payslip if an employee doesn’t have enough of the paid leave type they were approved for. Every time an event changes an employee’s leave balance, future payslips will reprocess and the amount of LWOP will increase or decrease based on available balance.
    • The setting is located under Leave settings ‘Select a type of unpaid leave to redeem automatically when an employee's balance will not cover the requested amount’.
      Existing payslips will not be reprocessed automatically when the setting is enabled, but will update the next time their balance changes.
  • Time off page displays LWOP taken – When a payslip is paid with an LWOP automation the original approved leave request will reflect this in the payment breakdown tooltip
  • Time off page icon change and fix to breakdown tooltip – The icons on the Time off page that appear against an approved leave application have been updated. An application that is yet to be paid is represented by a grey hourglass. When part of an application has been paid and some is still remaining, the hourglass will be orange. Upon full payment of the leave application the icon will be green tick. The payment breakdown information that displays when you hover on the icon has been updated. Issues with incorrect payslip status or amounts displaying here have been corrected.
  • Improved feedback on leave applications that exceed leave balances – When completing a leave application a prominent warning will display on both the details and review step if it appears the balance will not cover the application. The amount of hours likely to be unpaid is displayed in the warning.
  • Additional option in controlling leave contribution to ordinary hours –The award setting that dictates if entitlement hours will count towards max ordinary daily and weekly hours, now has the additional option to only use paid leave types for this purpose. This can therefore now be set as All leave types, no leave types or paid leave types only.
    • This setting is located under each Awards and Agreements > Settings > Overtime settings section “Should entitlement hours count towards hours worked for calculating overtime?” Please be aware currently the award test tool does not show any form of LWOP types in the results. As this tool runs off timesheet data and the LWOP replacement occurs at a payslip edit, the award test page will reflect the timesheet data for that week.

  

Major Clock release

  • App version: 2.3.2
  • Improved speed and stability.
  • Rebuild of camera/barcode scanners
  • Various bug fixes to settings.
  • Moved the offline indicator to make it more visible (red blinking pill now near the version number).
  • Note that apps must be closed and updated from the app store if they are not on 2.3.2, and if they are on 2.3.2 but not 2.3.2.d, close the app and reopen a few times.

 

STP2

NB: the following releases will only take effect when your platform is enabled for migration to STP2

  • Update of Fairwork statement on Comms Template 45.
  • Improvements to reporting and packet volume for the STP gateway.
  • Implementation of new fields in Advanced Employee CSV import - Implemented additional columns in the Advanced Employee CSV template that will allow for the import of Office Code, Income Stream Type and Country Code if applicable. Note that these fields are not mandatory for the successful import of the CSV but if WHM or FEI is specified as the Income stream type, country code is required.
  • Ability to add foreign tax rate on foreign income - Where an employee’s profile is set as income type FEI (Foreign Employment Income), admin users will be prompted to enter a foreign tax percentage for the country where the foreign income was earned. This prompt will appear on the acceptance modal and in the Tax accordion.
  • Prevent auto-archival of terminated employees if final pay is not processed - The new cessation process prompts admin users to specify cessation date, archival date, and pay-out any applicable paid entitlements. Where an admin does not process this final payslip before the specified archival date, 3 things will happen:
    1. Employee will not be archived.
    2. Admin will be notified that the employee has not been archived and next steps.
    3. Banner will display in employee profile giving admin the option to proceed to pay final payslip, or delete final payslip and proceed with archival.

 

Bug fixes

  • Labour management report correctly showing overtime when max weekly/daily hours exceeded - Fixed the bug that would cause this report to view all timesheets for a period independently for hour calculation after edit of an approved shift.
  • Negative Super employees to always be in a separate batch - No longer will employees with negative Super be included in normal Super batches.
  • Reconciliation Super batch can only be merged with a valid positive batch - No longer will be able to merge negative reconciliation batches with a positive batch that does not have a sufficient amount for the employee to cover the negative.
  • Worked hours and leave approved on shift correctly added to payslip - Fixed the bug where through a specific sequence of clicking different approve/edit/approve options a shift with both leave and shift hours was dropping the shift hours.
  • Double click on creation of office code will only create one office code - Will no longer send a create request for every click of save.
  • Salaried employees can be given reimbursement in add to week section of Approved Shifts - If a salaried employee is chosen for reimbursement before the weekly timesheet for them is created by the system, this weekly timesheet will now correctly still create worked hours with the reimbursement.
  • Fixed an issue that was preventing users from saving changes to, or approving a shift from within the Approve Shift modal, when changing a position while a file was attached to the shift.
  • Award based public holidays - Fixed an issue that was causing the public holiday options for award based public holidays to not display on the Approve Shift edit modal.
  • Delete shifts from day - Fixed an issue that was allowing shifts with edits in Approve Shifts to be deleted from the roster using the ‘delete all shifts from day’ feature.
  • Reimbursement report attachments - Fixed an issue that was preventing the files associated to a reimbursement from appearing as a column on the Reimbursements Report.
  • Employee portal edit shift - Fixed an issue that was preventing employees from making changes and/or attaching documents to a shift from within the employee portal.
  • Shift fatigue warnings - Fixed an issue that was causing shift fatigue warnings to incorrectly display when detecting hidden roster template shifts for that employee within the specified range.
  • Input field Display issues - Fixed some minor UI display issues with the input fields and radio options on the admin employee financial section.
  • Roster name selector - Fixed an issue on the roster shift create/edit modal in roster week view that was causing the roster name selector to quickly disappear when attempting to select a roster.
  • Bulk Adjust Shifts - Fixed an issue with the Bulk Adjust Shift times feature that was allowing users to adjust shift end times to before shift start times (or start times to after end times). The maximum time adjustment will now be dynamic based on the group of shifts selected.
  • Weekly Allowance/Reimbursement - Fixed an issue in the employee portal where the ‘Cancel’ and ‘Add’ buttons were missing from the Weekly Allowance and Weekly Reimbursement modals.
  • Bulk Email - Fixed an issue with the ‘send bulk emails’ feature where the contact entered into the ‘reply to’ field was not being respected on the sent emails.
  • Operation Comments & Emojis - Fixed an issue that was causing comments with emojis added against an operation in the CRM area to only save the content preceding the emoji. Emojis and all content will now be saved as intended.
  • Fixed an issue that was causing offered shifts to show in employee portals under the 'Times' section when the employee has the 'Submit Shifts' functionality activated.
  • Fixed an issue that was causing shift counts in the overview section against a roster on the Work > Rosters page to not include shifts that were on the last day of the week.
  • Fixed a display issue with the onboarding workflow where on some occasions, the 'Next' button would appear to the right of the content.
  • Roster day dropdown menu - Fixed an issue that would cause the three-dot dropdown menu on each day/date header on the roster to disappear when the 'Roster and day notes' display setting was turned off.
  • Licence/Qualification upload error - Fixed an issue in the employee portal that was in certain circumstances preventing employees from uploading documents against a qualification.
  • Approve Shift Export/Import Breaks - Fixed an issue with the Approved Shifts export/import CSV tool where overnight or shifts ending at midnight with breaks would cause incorrect import validation errors.
  • Approved Shift with leave row colour - Fixed an issue with the row colour of Approved Shifts where in certain circumstances, when leave is added and the shift is approved without worked hours, the row would turn green instead of purple.
  • Last Worked Date - Fixed the date displayed against an employee's profile under 'Last Worked Date'. Previously it would show the latest approved date even if it was in the future. Now it will only display worked dates that are in the past. 
  • Stop notification sending when Approve Shift with leave declined - Employees will no longer receive a notification saying a leave application has been declined if an admin declines leave (or swaps leave types) within Approve Shifts. This matches behaviour of leave added in Approve Shifts.
  • Allow letters in Super member input - Some funds will supply Super members numbers that contain letters. These can now be entered in employee profiles without being blocked by validation.
  • Bulk Adjust Shifts - Fixed an issue with the Bulk Adjust Shifts feature that was preventing adjustments being made when at least one shift in the selected group was an overnight shift.
  • Allow negative leave on Approve Shifts - Fixed an issue on Approve Shifts shift edit that was preventing users from adding a number of hours to a leave item if it would put the leave balance into a negative. Approve Shifts will now respect the setting against the employee entitlement.

 

Shift costing fixes

NB: the following are fixes for an upcoming release related to shift costing

  • Shift Level Cost Codes - Fixed an issue in Approve Shifts that prevented users from completely removing cost code parts that had been applied to a shift.
  • Cost Code Timeline - Fixed an issue with the shift level cost code timeline, where when the shift was split into three parts, the starting time for the timeline was being changed incorrectly.
  • Dashboard Offered Shifts - Fixed an issue that was causing shifts offered to employees from the dashboard to lose any cost codes that were applied at the shift level.
  • Create new cost code on a shift - Added the ability to create cost codes from within the shift edit view Rosters and Approve Shifts. When applying a cost code to a time part, if the code is not within the select list search results, an option to create the code will appear.
