Release Notes - May 2022

Leave Approvals

With the major release for managing leave comes many improvements and feature updates. Below are some of the key improvements to workflow or functionality that have been released:

  • Leave and availability have been merged into the ‘Time Off’ page – now a central feature to manage employee time off whether it’s leave or availability.
  • Leave added to shifts via Approve Shifts will now create a leave application visible within Leave approvals, and employee leave history. Additionally, guided workflows have been introduced for cases where leave is approved from leave, matching leave added via approve shifts.
  • Allow partially processed leave to be edited or ended – Admin users can now edit a leave application that spans multiple pay periods when one period is already processed. This adds the ability to end employees leave if they come back early, or change the hours for the non-processed weeks in the application.
  • Employee ID searchable – Users can now search by Employee ID, with the ID being displayed when hovering on employee names.
  • Leave filters, including employee search are now added to the URL, allowing direct linking to specific results, or accessing via browser shortcuts.
  • Employees can edit an Approved Upcoming leave appthis action will send back to pending for reapproval.
  • Updated available filters to allow filtering by operation employee is associated with.

Roster Updates

As part of ongoing efforts to improve the speed and ease of creating shifts on the roster, creating and editing a shift has had a large overhaul, with new functionality added to better manage large numbers of shifts.

  • Creating or editing a shift has been moved to a slide out drawer, with shift details now displaying alongside the drawer.
  • Errors and warnings will now display while creating or editing shifts to display information as you need it, to allow faster and more accurate rostering.
  • Adding or editing a day note has been moved into a new dropdown menu in preparation for some upcoming changes for easier management of daily actions.
  • Implemented functionality to bulk adjust the start, end or shift time. Where you might need to make select shifts start or end 30 minutes earlier or adjust the entire shift by 2 hours (both start and end time).
  • Updated the styling of error and warning messages to be more consistent across the platform.

Improvements & New features

  • Improved email oversight for Invoices – It’s now clear which versions of an invoice have been emailed with the icon added to the version history tab indicating which versions of an invoice have been sent. If the latest version has not been emailed the icon will no longer show on the invoice overview page, indicating to users this action still needs to be done.
  • Update calendar selector on reports –The final stage of updating reports to the new calendar component is complete.
  • Operations export options added – The operations export now includes ops manager, ops office code, op mobile, op tags.
  • Clear filter button changed – Based on feedback submitted that the current red x clear filter option on Invoice and payslip page can appear like the error state when an image fails to load. This has been changed to a ‘clear filter’ button to remove any confusion.
  • Action Bar – made multiple improvements to the behaviour and usability of the action bar for a more polished, and consistent experience.
  • Improved the Shift Offers report to now display the outcome of an offered shift even where it may be later deleted or removed from the employee.
  • Improved display for no values for sales data in the roster analytics. Days without any sales data will now show ‘-’ instead of ‘$0’ for Sales Per Labour Hour figures. 
  • Employee Workflow changes - The “Send Reminder” button has now been moved to a notification banner at the top of the screen. The number of notifications sent has been maintained and will be displayed in brackets. This will help with identifying why an employee that is currently in Approved People and has a position against their profile is not available to work.
  • Improved speed of the Advanced Payroll Activity report.
  • Break start time added to Approve Shifts importThe export/import tool that sits in Approve Shifts will now allow the users to specify the correct break start time upon import. Solving for customers that use this tool and have awards with penalty rates for no break within x hours.
  • Introduced a new column on the Shift Offers Report to provide visibility over deleted shifts that were sent as offers.
  • Added multiple additional BSB numbers to the platform BSB directory – BSBs are validated against a validated list displaying the bank and branch associated. This list has been updated to allow selection of new BSBs available.
  • Invoice totals – The invoice table will now display totals of what is filtered. In the same way as the payslips page, the total is for the entire set of data, not just what is shown on the size selector (i.e showing 10 or 50 results will have the same total for the whole period).

STP Phase 2

  • Non STP reportable allowance option - improvement to the new STPv2 Allowance categories. To make the process of setting up new STPv2 reporting categories in allowances easier we've implemented a “Non-Reportable” option so that the admin is able to mirror their STPv1 and v2 selections.

Bug fixes

  • Rate Rise tool – multiple bug fixes to address multiple rare issues caused by specific use cases.
  • Fix ETP info link – The external link on the ETP page that sends user to ATO site for more info been updated to address a change on the ATO side.
  • Fixed an issue where returned search results would not display as the user was on a page with no results. The user will be returned to page 1 when this occurs.
  • Fixed an issue that was causing the ‘you have pending policies or documents to review’ notification to not appear in the employee portal. 
  • Fixed a display issue that was causing a completed date on the employee records page of an employee profile to not display correctly. 
  • Fixed a minor issue with the select all checkbox on the analytical data source page.
  • Rate rise bug fixes – validation has been added to prevent uploading duplicate classifications or an incorrect csv. Rate rises that no longer have any valid awards (because a different rate rise used the previously selected) will no longer be valid.
  • Fixed an issue that would infrequently cause the ‘Get Started’ link in employee welcome emails to have a testing URL.
  • Fixed an issue that was causing availability and external shifts not to display when loading a template into a new roster.
  • Fixed an issue that was causing PDF document names to use a system generated file name rather than the original file name when attaching to document approved notification emails.
  • Fixed an issue that was preventing the ‘max hours exceeded’ warning from displaying in the ‘Find Employees’ modal from bulk shifts.
  • Fixed an issue that was causing the Employee Records Summary report from not respecting the filter dates in some circumstances.
  • Fixed an issue that was preventing some employees from opening their uploaded parental consent form in their profile.
  • Fixed an issue that in some circumstances a roster could not be archived due to future dated shifts that did not exist. 
  • Fixed an issue with the bulk adjust shifts feature that was preventing adjusted shifts from returning to an unpublished state.
  • Fixed an issue with document creation in the document library that would cause content to be removed if attempting to save a document without a title.
  • Fixed an issue with the employee select list that was causing the employee’s current status to not display in the preview accurately.
