Release Notes - December 2021

Improvements & New features

  • Implemented a new setting for additional controls on the Approve Shifts page. Administrators can now control whether users can utilise the bulk Approve, Edit and Adjust functionality.
  • Improved the ‘Add New Row’ form in ‘Analytical Data Source’ to show which fields are mandatory.
  • Improved the ‘Next’ button in the onboarding workflow to prevent employees from navigating to the next step while files are uploading. Also implemented a profile picture preview after successfully uploading.
  • Updated the Approve Shifts 'Pending Shifts' export to include shifts that were created and submitted by candidates.
  • Improved the add item modal in payslip edit mode – Enhancement to the labels to make clear where pay items are located. Now show more detail on Pay rates (i.e. the rate multiplier) so that it matches the award setup page.
  • Updated permission requirements to access the Award Test feature - previously required ‘manage financial details’. ‘View Employee pay rates’ is now required to view this feature.
  • Improved export options for Self-Managed Super Funds in super settings - To cater for requirements of different clearing houses, if you are downloading superstream files that contain an SMSF you are now presented with a radio button option to download a file – with SMSF, without SMSF, and only SMSF.
  • Improved the roster analytics feature calculation speed to decrease loading times and decrease cases where a large amount of data was preventing timely loading of roster costing.
  • Implemented new permission for allowing admins to change the status of an employee. Admins will need to have this permission enabled if they want to move an employee from pending to approved/declined and approved to declined/archived.
  • User action log entry when updating candidate settings - User action log entry will now be made when admin makes the following actions in an employee profile: 

            Enable/Disable TOIL
            Employee Clock Enabled
            Nominated Jobkeeper
            Revoke App logins
            Edit Office Code
            Enable/Disable Submit Shifts
            Enable/Disable Change Position setting
            Terminate Employee
            Employee Status Change

  • TOIL (on/off) setting in Leave Settings - Admins will now be able to enable/disable TOIL for entire platform. When TOIL is set to disabled the TOIL toggle in employee profile is hidden. When TOIL is set to enabled, TOIL toggle will be visible and editable. When TOIL has been accrued against an employee’s profile, the admin will be notified that the employee has a balance if turning TOIL off.
  • Invoice audit/version history - Invoices now have a complete audit trail thanks to the version history function. Track all changes made along the way of an invoice’s journey from generation to issued.
  • History Icon change on invoices - Linked to the above feature, the history icon that used to appear when an invoice was edited has been updated to the new storybook icon. Also now has a hover state that tells you when last edited.
  • Group by employee invoice format - A new option for grouping employees on invoices has been introduced. Currently each line item includes the employee’s name and rate label or pay item. With this operation-based setting enabled, the employee will be displayed as a grouping title, with all line items listed underneath. This function is also supported for manual invoice/edits. If an operation with this setting is chosen, the page will change to allow you to add both groups and items.
  • Invoice emailed improvements – With the improvements to invoicing history, improvements have been made to the emailed to client notification system. When an invoice is successfully emailed to the client, the invoice will now display an email icon against it – representing the latest version has been emailed. The icon will display who sent the email, and when it was sent. If an emailed invoice is then edited, the icon will disappear from the overview page until emailed again. The version history will display invoices that had previously been emailed to the client.
  • Added a ‘Download PDF’ option to the employee portal where the browser on the employee’s device doesn’t support viewing PDFs.
  • Updated the date picker on the create/edit shift modal for improved date input validation.
  • The creation and editing of rosters has been updated to use consistent terminology using location, rather than requesting an Area or Region.
  • Exporting employee data from People (Approved/Pending etc) will no longer display as #VALUE in Excel where the data begins with a symbol (‘+’, ‘-’, ‘=’).
  • Exporting rosters to CSV now includes additional details – roster address, roster contact and state.

 Bug fixes

  • Fixed an issue where the roster modal wouldn’t close automatically when being deleted.
  • Fixed a display issue with the employee list when adding a shift to a roster on a day with a public holiday.
  • Fixed a display issue that was rendering an additional checkbox in the onboarding workflow.
  • Fixed a display issue that was rendering an additional radio option in the onboarding workflow.
  • Fixed an issue that was causing some employees to be logged out of the employee app unexpectedly.
  • Fixed an issue with the ‘Back’ button not displaying when it should, or displaying when it shouldn’t in employee onboarding.
  • Salaried flag for payslips filter not returning correct results – Issue with filtering by salaried on payroll page is now resolved.
  • Update interim ATO code for no TFN provided after 28 days - Employees that have selected option “I have made a separate application/enquiry to the ATO for a new or existing TFN” on the TFN Declaration will automatically report as “No TFN quoted by the payee” after 28 days.
  • Message template sending to managers instead of admin - Comms Template “Admin Super Details Changed Template” was incorrectly sending to the employee’s managers. As this deals with payroll specific information, it is now directed to Accounts Admin with option for dynamic recipient.
  • Edit Deduction in employee profile now requires permission to “Manage Employee Financial Details” and not “Access Deductions” Permission.
  • ABA history page will now allow you to select the correct week ending, previously always locking to the day prior to week ending.
  • Resolved Display issue after viewing timesheet on pay page.
  • Invoices not generating when whole operation was on leave issue resolved - If an operation only has leave items to be invoiced, it will still appear as an option to generate invoices for.
  • Fixed an issue where the employee app was not respecting the ‘Can Employee use the apps to record their breaks?’ operation override setting.
  • Fixed a display issue with select drop downs in the create shift modal on the Approve Shifts page.
  • Fixed an issue that was causing the Approve Shifts page to display/suggest the approved times for a shift to be the same as the rostered if the clocked time was within 59 seconds auto adjust to the rostered time boundary.
