Release Notes - August 2021

Effective dates - Bug fixes:

  • Fix all occurrences where a position would be listed with an upcoming start date that was in the past.
  • Fix bug where start date would say conflicting other positions, even when this wasn’t the case.
  • Fix when prompted to action existing timesheets even when a new position was not being added.
  • Complete overhaul of all messages when positions have conflicts / can’t be edited in a specific way. Messages explain specific issue and provide option to fix most within modal.
  • Fix entitlements saying delete on (date in past), now deleted at required dates.
  • Entitlements set as “apply to all new ppt” will pre-load in add entitlement modal.
  • Where casual has entitlement position, but no longer has entitlements, not prevented from deleting / ending entitlement position.
  • Where editing position tied to casual entitlement and updating rate, no longer blocked from saving.
  • No issue swapping to position within same position group.
  • When adding/editing a position there are options for future shifts attached to the old position. Previously, the admin was prompted to select a position group even if position groups are not used on platform. Now the dropdown in the review section shows the relevant information for the platform/position.

Effective dates - Improvements & New features:

  • Ending a position with rostered shifts now has 4 options (if all can validly apply):
  • 1. Delete shifts (always an option).
  • 2. Remove employee from shift and leave in blank state on roster (always an option).
  • 3. Keep all shifts and swap to new position (If adding a new position is ending current one and new position matches roster location and rates book).
  • 4. Keep all shifts and swap to existing position (If existing positions match roster location and rates book).
  • Can make an additional position new permanent primary one. Additional position will appear in list of positions available when adding / editing primary, if chosen, will make it primary and user can choose to end current primary position completely or keep it on as an additional position (i.e swapping them around).
  • Enable salary toggle does not require a new position.
  • Implemented position group filtering when adding a permanent position.
  • Entitlements are no longer “locked” if the date for pay-out is in the past but entitlement wasn’t automatically paid out (as no timesheet for that week). Can now edit or delete without developer escalation. The tooltip is now also date aware to advise what as occurred.
  • Can change the selection of an entitlement (i.e. pay out, delete, carry over) before date is reached by editing.
  • Ending a casual entitlement position - user can assign a new or existing position to replace it (therefore not blocking position edit). If no positions exists user has option to delete all entitlements and continue.
  • Updated calendar picker.

All Other Bug fixes:

  • Shift Offer expiry.
  • Export Clock log in Operations Portal - Operation users now only see clock log information relating to their Operation in the export.
  • Roster Metrics Display Error - Roster metrics were pulling data from all rosters rather than respecting permission search restriction.
  • Position Groups Respect Location - When an employee has different positions assigned to different locations in the same Position Group they were getting paid at the position with the higher rate. Position Groups will now respect Locations in rosters.
  • STP finalisation Office Code filter - STP finalisation Office Code Filter now filtering correctly.
  • Leave Applications Duplicating - Leave applications were duplicating when processed payslips were edited. 
  • Entitlements Display Error on Processed Payslip - A bug affecting entitlement balance on payslip when document was regenerated has been resolved.
  • Logo on payslip generation fix.
  • Invoice Generation Issues.
  • Beam Refunds - Refunds from Beam were appending to reconciliation batches causing a validation error when attempting to process.  Beam refunds will not be merged into reconciliations batches.
  • Clock App Release v1.6.2.
  • Employee Password Reset Email comms override - When system email redirect is turned on, the employee password reset email will now respect this override.
  • Allowance Import Issue.
  • Availability On Roster display issues.
  • Clock fixes:
  • Auto Approval issues - The clock out action was returning a false positive on the employee autopay condition where autopay employees do not not have their shifts auto approved.
  • Auto Approval Shortening Employee Times  - Shifts that are eligible for automatic approval snap to rostered time and will no longer shorten an employee's worked hours.
  • Employee Clock fix - No matter how quickly or how many times the employee clicks clock-in, they will only be clocked in once.
  • Clock Break return to Home Screen - When an employee clocks out/in for/from a break, the clock app will return to the home page.    
  • Offline Clock Functionality.
  • Timezone Discrepancy issues.
  • Help Centre URL for Operation users updated.
  • Fatigue warning - fixed so will now only display when the time between shifts is less than (not equal to) the hours specified in platform settings.
  • Employee clock issue - a small issue was identified that allowed employees to clock in on their employee clock even if the setting was disabled.
  • SMS shift offers bug.
  • PDF Export issue in Approved Leave.
  • Adjust End Times in Approve Shifts  - the Radio select option and label are now both clickable. 
  • Roster Summary Report bug - Report will now display correct total recorded hours. 
  • Admins can now increase / decrease shift time in bulk.
  • Availability notification issue resolved - now when an availability notification is clicked, the availability filter will change and the page reloads with new data.
  • Unavailability issue resolved - Admins can now set periods where unavailability is not an option (as opposed to a full day).

Improvements & New features:

  • Read Only function in Employee Profile - Now have the ability to set read only permission for employee profiles.
  • User Action Log updated - now shows more details when roster is published.
  • Operation Tag Export - you can now export tags applied to an operation using Bulk Actions > Export.
  • People Export Age - When employees that are yet to supply a DOB are exported in people export, their DOB and age will display as blank in the CSV.
  • Termination Report Filters - Employee Office Code Filters on the Termination Report is now available.
  • User action logging for all clock actions.
  • Permission Group and Search Restriction CSV Export - can now export Permission Groups and Search Restriction Groups from the Users menu.
  • Ability to edit employee Superannuation details and re-download the superstream file.
  • Split SMSF to allow manual upload as per superstream report functionality.
  • Impersonating production account Status Bar.
  • Admins can now turn on “Unspecified Qualification, License or Certificate” in Platform Settings > Qualification List > Add New page  - employees can then upload multiple Qualifications/Licenses/Certificates against one unspecified with a free text title.
  • Employees can now apply for less than 1 hour leave.
  • PM and Att codes update - Admins can now select what kind of Attendance codes they want to appear in Approve Shifts when declining a shift, in Platform Settings. They can select from Attendance, Attendance & Performance or Attendance, Performance and Termination.
  • Employee App Release v1.4.21: Issues relating to retrieving location data while performing clock actions have been resolved. iOS retrieval now significantly faster.
